AMO PRESS GRUP and AMO PRESS RETAIL are two companies from Iasi, members of the same group, specialized in press and related products distribution and retail. Both companies have over 9 years of experience and hold a 70 work stations network (kiosks).


Challenge
The end of 2012 represented, for both companies, a time to rethink the position on the market and the expansion strategy. It was obvious that an integrated software solution to allow automating the activities and unifying all the data in a single database was needed.
By implementing an ERP, the companies wanted to replace a simple accounting system with a professional one that offered centralized data, multiple reporting possibilities and to track the products in the portfolio in detail  (according to number or occurrence date of publications)

Solution
The first step was to identify an ERP software solution to meet our current needs, to cover complex processes through functionalities the company may need in the future, to have solid references on the market. Charisma ERP answered all the selection criteria and was chosen as the right solution to manage the activity. TotalSoft had already completed projects in the press distribution area so it was aware of the problems that Amo Press had to face.
While defining the technical specification, the stress was laid on creating a workflow to enable an automate order generation based on sales history of every publication and each complementary product. Streamlining the supply and sales activities, as well as reducing the press returns were main objectives.
To cover all these needs, TotalSoft offered Charisma ERP with a distribution component (Charisma WMS) that managed the 5000 items (press and complementary products in the cigarettes range, non-alcoholic beverages etc.)


Results

  • Charisma ERP covered the company’s financial-accounting requirements and helped standardizing the press distribution activities;
  • allowed tracking the distribution activity closely, offering statistics and reports starting with a series of criteria existing in the system and, at the same time,  allowed adding new requirements depending on various events;
  • the modality of taking over the orders in the territory was changed and standardized, removing thus the time wasted with data centralization, wrong deliveries and too many returns;
  • the sales analyses can be performed on a daily basis, and forecasts are made based on the history of each product and work station;
  • the distribution activity is performed more wisely, the press is sent to the points of sale not only in optimal quantity but much more targeted. For instance, if a derby takes place in the city, then the sport newspaper is supplemented and placed in the strategic points of sale;
  • the number of returns are significantly reduced and the distribution activity is performed depending on: area, target public, hour, period, various events;
