Using Charisma, we managed to significantly reduce the analysis and approval time of the files without increasing the number of employees. The system alerts us regarding the invoices uncollected during the time interval specified in the contract, and the due date for the payment of the vehicle taxes, so that we can be informed about the status of every contract in every moment.”
Bogdan Ionescu, Legal adviser
The Romanian leasing market continues to grow and the main leasing companies’ offers are more and more attractive and flexible. Under these circumstances, in order to impose themselves on the market and to ensure the business profitability, it is essential to differentiate from the competitors not only in terms of offer but of rapidness and organizing capacity. Many of the main leasing companies in Romania have chosen Charisma ERP, developed by TotalSoft as an integrated system to efficiently manage their business.
Established in 2003, Romexterra Leasing is the only leasing companyin Romania with an expertise in the cross-border leasing of the oil drilling and extraction equipment, but also practicing the internal leasing for vehicles and equipment.
Since their establishment until the end of 2005, Romexterra Leasing concluded 1,319 leasing contracts. In comparison to 2004, the number of concluded contracts rose significantly, to 734 contracts, unlike 413 concluded the year before. The total portfolio of the contracts concluded since its establishment until the end of 2005 amounts 58, 1 mill. Euro.
In February 2004, once the number of contracts increased significantly, the Romexterra Leasing leadership understood that purchasing an information system capable to support and streamline the company’s activity and to replace the old Excel, was a mandatory step that could not be delayed.
Romexterra Leasing created a team composed of both IT and leasing specialists, which prospected the software solution market for this sector. The team also analyzed and tested a series of software solutions and finally chose TotalSoft’s system because it best answered their needs. “We chose Charisma due to the recommendations received from other companies in our branch and also due to the technical qualities of a solution promising to solve the problems.”, stated Bogdan Ionescu, legal adviser at Romexterra Leasing.
Thus, at the beginning of 2004, Charisma ERP was purchased for the activity and leasing contract management.
The implementation of the system started in 2004 and lasted until May, 2004. During these months, the system was configured and all the data existing in Excel were inserted in the new application. The next step was the users’ training and the ‘live’ utilization of the application.
The initial contract implied the following modules: accounting (ensures the data integration with the other operational modules of the system offering data required for both previous reviews and future decisions), treasury ( used to monitor the customer’s financial situation – issued invoices, encashment and payment, backlogs), purchasing, sales (the module tackles the relationship with the customers: offer requests, offers, orders, invoices, notifications etc.), asset management, inventory management, analyzer, and of course the leasing module.
This module tracks the operational and financial leasing operations from the first contact with the future beneficiaries of the leasing contracts and continues this during the execution of the contract until its closure.
The result was a unique database that enables a very quick search of a customer, an immediate access to the client’s history , the direct leasing contract generation and the automatic issuance of invoices on time. Users are thus provided with a series of important information for the leasing contract approval, they are notified about a client’s earnestness and therefore a leasing file can be approved or declined in a short period of time.
“Using Charisma, we managed to significantly reduce the analysis and approval time of the files without increasing the number of employees. The system alerts us regarding the invoices uncollected during the time interval specified in the contract, and the due date for the payment of the vehicle taxes so that we can be informed the situation of every contract in every moment” stated Mr. Ionescu
The collaboration with TotalSoft continued in 2005 as well, when the Alerter Module was implemented. This module can be defined as a notification service for both the users and the partners (suppliers/clients).
